CE Provider Policy

 

Approval and Eligibility

Therapist Learning Center, LLC has been approved by NBCC as an Approved Continuing Education Provider, ACEP No. 7422. Programs that do not qualify for NBCC credits are clearly identified. Therapist Learning Center, LLC is solely responsible for all aspects of the programs.

Participants do not need to be licensed to attend our events. If you are a licensed provider, please confirm with your licensing board that Therapist Learning Center CE programs will be accepted as continuing education credit.

 

Confidentiality of Participant Information

Therapist Learning Center is committed to protecting the privacy and security of participant information. This section describes how we collect, use, and safeguard personal information across our platforms and services.

Information we collect.

Our website uses cookies and Google Analytics to understand how visitors use the site, including general information such as pages viewed and the browser or device used. You may disable cookies in your browser settings, though some features may not work as a result. We do not control what Google collects through Analytics, and you can review Google’s own privacy practices for details.

We also collect information you provide directly when you register for a program, subscribe to a newsletter, or contact us. This may include your name, mailing address, email address, and payment information. We collect only what we need to deliver our programs and meet continuing education requirements, and we do not request Social Security numbers.

How we use information.

  • Program administration and delivery
  • Service related communications
  • Marketing communications, which you can opt out of at any time
  • Meeting continuing education and recordkeeping requirements

Third party platforms.

We use Google Workspace, including Google Drive for sharing course materials and Google Meet for online sessions, for course management and delivery. Stripe processes payments securely, and Thrive Cart handles registration and transactions. Payment information is processed by Stripe through encrypted channels, and we do not store credit card or banking details within our own systems.

Recorded and home study programs.

When a live training is recorded for use in a home study or distance learning program, we will not make participants identifiable by name, image, or other means without their consent. If a recording would identify a participant, we will obtain that participant's written consent before using it.

Data security.

We use commercially reasonable security measures to protect participant information. No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

Confidentiality Breach Response

If we become aware of a confidentiality breach involving participant information, we will:

  • Investigate promptly to determine the scope and nature of the breach
  • Take prompt steps to contain it and prevent further unauthorized access
  • Notify affected participants without undue delay and in accordance with applicable state and federal law
  • Explain, in plain terms, what information was involved and what we are doing in response
  • Review and strengthen our data handling practices to reduce the risk of recurrence

Complaints and Grievance Resolution

Therapist Learning Center is committed to maintaining high standards of professional education and service. This policy describes how we address participant concerns and grievances related to our continuing education programs, and it applies to all current and prospective participants.

How to submit a complaint.

If you would like to express a concern about Therapist Learning Center or any of our continuing education programs, you may contact us by email at Support@TherapistLearningCenter.com or by telephone at (336) 606-1862.

How we respond.

  • We acknowledge the complaint within 5 business days of receipt
  • We conduct an impartial and thorough review of the matter
  • We provide a written response within 12 business days

All complaints are handled with confidentiality and professional discretion and are evaluated without prejudice. While we are committed to a fair and thorough review, we cannot guarantee a particular outcome. Our goal is to address concerns professionally and constructively.

 

Fees, Refunds, Credit, and Cancellation Policy

Fees vary depending on each training or course length, location, and format (live or home study). The fee for each program is shown at the point of registration so you know what to expect before you enroll.

  • A non-refundable deposit applies to live trainings. The deposit amount is set for each event and shown at the point of registration, so you know it before you enroll. Discounts and coupons apply to the remaining balance only, never to the deposit.
  • The card processing fee charged on your original transaction is non-refundable. When a payment is refunded, the card processor does not return its fee to us, so that amount cannot be included in a refund.
  • Replacement CE certificates are available for a $5 fee, and a digital copy is issued once payment is received.
  • The only accepted method of payment is a credit or debit card from any major financial services company (for example, Visa, Mastercard, or Discover).

Terms and Conditions

We understand that circumstances can prevent you from attending a scheduled training. Refund and credit terms vary by training format because of differences in venue, instructor, and administrative costs and planning. The applicable terms are below.

Retreat-Style In-Person Trainings

  • 120 days or more before the start date: full refund, minus the non-refundable deposit and processing fees
  • 90 to 119 days before the start date: 50% refund or credit toward a future retreat, minus the non-refundable deposit and processing fees
  • Fewer than 90 days before the start date: no refund, but a 10% credit toward a future retreat if requested

Conference and Summit-Style In-Person Trainings

  • 120 days or more before the start date: full refund, minus the non-refundable deposit and processing fees
  • 90 to 119 days before the start date: 50% refund or credit, minus the non-refundable deposit and processing fees
  • Fewer than 90 days before the start date: no refund, but a 10% credit if requested, minus the non-refundable deposit and processing fees

Virtual-Live Trainings

  • 14 days or more before the training date: full refund, minus processing fees
  • 7 to 13 days before the training date: 50% refund, minus processing fees, or a credit toward a future training
  • Fewer than 7 days before the training date: no refund, but a 10% credit toward a future training
  • We do not provide refunds or credits for technical problems caused by a participant's own equipment or internet connection. We will do our best to help you connect to our content, but we are not a technical support team.
  • We do not provide refunds or credits if we are contacted about an inability to attend only after the training has occurred.

Home Study Courses

  • Home study courses, when offered, are non-refundable once purchased and are not eligible for credit.

Special circumstances.

We recognize that emergencies happen, including sudden illness, family emergencies, unexpected work conflicts, and other extenuating circumstances. If you are unable to attend for a reason like these, please contact our administrative office and we will review your situation individually.

How to request a refund or credit.

  • Include your full name, training date, training location, and reason for cancellation
  • Attach any supporting documentation for special circumstances
  • We will review your request within 7 business days

Credit usage.

  • Credits are valid for 12 months from the date of issue
  • Credits can be applied to any future training of equal or lesser value
  • Credits are non-transferable and cannot be exchanged for cash

 

Attendance and CE Certificates

Criteria for receiving a CE certificate.

For live trainings, you must attend the entire published length of the training and submit the evaluation provided to you. For home study courses, when offered, you must complete the entire published course and pass the quiz with a score of at least 80%. We do not award credit for partial attendance or partial completion.

How you receive your join information.

Once your registration is complete, you will receive an email with everything you need for your training. For live trainings, that email includes the date, time, and a link to join, and any training materials are shared with you through Google Drive. Live trainings begin at the published date and time.

NBCC documentation.

  • Live training:

We are required to provide NBCC with documentation of a participant's full attendance and a copy of their CE certificate. You must attend the full published length and complete the evaluation to receive your certificate.

  • Home study, when offered:

We are required to provide NBCC with documentation of a participant's completion and a copy of their CE certificate. You must complete the full course and pass the quiz at 80% or higher. Once you pass, you will receive an email with your results and a link to view your certificate.

All CE certificates are emailed to participants within 7 days of completing the required evaluation or passing the required quiz.

 

Enduring Materials Review

When Therapist Learning Center offers home study or distance learning programs, it keeps those materials current. Each enduring program is reviewed within 12 months of its initial release and at least every 24 months afterward, and sooner when significant changes in clinical practice, research, or professional standards make an earlier review necessary.

Each review checks that the content remains accurate, evidence based, and consistent with current professional guidelines, and that the instructional design and assessment remain effective. Based on the review, materials are retained as is, updated, substantially revised, or retired. We document our reviews, keep clear version records, and notify participants of significant updates to a program they have purchased.

 

Record Keeping and Retention

We maintain participant records for 7 years in compliance with professional licensing and certification requirements. These records include participant name, mailing address, email address, course performance records, payment verification, correspondence, and issued certificates.

Records are accessible only to authorized Therapist Learning Center personnel. We do not sell personal information to third parties. Limited sharing may occur with service providers that help us deliver our programs, and marketing opt-out mechanisms are available in all marketing communications.

 

Disclosure or Use of Client Information in a CE Program

Presenters and participants must not disclose personally identifiable client information during any Therapist Learning Center program without proper informed consent. When clinical examples are used for instruction, role play, or discussion, they should be presented as de-identified composites drawn from more than one case so that no individual client can be recognized. Participants are responsible for protecting the confidentiality of any client information they reference, and presenters are held to the same standard.

 

ADA Accommodations

Therapist Learning Center is committed to providing accessible continuing education. If you need an accommodation to participate fully in a training, please email Support@TherapistLearningCenter.com before the program date, using the lead times below so we have time to arrange support such as captioning or an interpreter.

  • Retreat-style trainings, at least 60 days before the start date
  • Conference and summit-style trainings, at least 30 days before the start date
  • Virtual-live trainings, at least 10 days before the training date

Home study programs, when offered, have no fixed event date, so you may request an accessibility accommodation at any time and we will respond promptly.

Requests made after these deadlines will still be considered and accommodated where feasible. We review each request individually, work with you to identify a reasonable accommodation, respond before the program begins, and keep all requests confidential.
